We are seeking a highly motivated and organized individual to join our team as an Executive Administrative Assistant/Project Coordinator at Bob Buescher Homes. As a Project Coordinator, you will play a crucial role in ensuring the smooth operation of various projects in both New Construction and our Remodel departments. Your responsibilities will encompass a wide range of tasks, including, but not limited to, permit acquisition, administrative duties, contract management, & scheduling.

 

Responsibilities:

  • Pull permits for new homes and remodels in Allen County and surrounding counties.
  • Obtain planning and building permits in accordance with local regulations.
  • Handle the necessary permits and taps for water and sewer connections.
  • Secure driveway permits and coordinate septic installations, as needed.
  • Order soil tests and permits as required.
  • Coordinate the setup of temporary and permanent electrical services.
  • Update office forms and maintain accurate records.
  • Type up contracts, including establishing construction draw schedules.
  • Send contracts to clients, and follow up with project managers regarding any changes needed.
  • Distribute paperwork to the appropriate team members upon completion.
  • Manage executive calendars and schedule meetings on their behalf.
  • Correspond with clients during the design phase of projects.
  • Handle annual contractor registration in January
  • File for Michigan licenses in May.
  • File and organize documents for the executives and ensure file closure when completed.
  • Meet with clients to sign contracts, collect down payments, and submit signed contracts to lenders, as needed.
  • Order plot plans from surveyors and schedule staking, prep, and final grades as needed.
  • Arrange for “locates” and obtain architectural approval when applicable.
  • Cover phones in the lobby during lunches.
  • Assist in scheduling, catering, and sending invitations for parties and gifts.
  • Order logo clothing and door mats for the company.

 

 

Requirements:

  • Previous experience in project coordination or a similar role is preferred.
  • Excellent organizational and time management skills.
  • Strong attention to detail and the ability to multitask effectively.
  • Proficiency in using Microsoft Office suite.
  • Familiarity with local building permits and regulations is an advantage.
  • Excellent communication and interpersonal skills is a must.
  • Ability to work independently and collaborate with a team.
